Checklist for course and programme coordinators
Review your educational texts on the website. Applies to both programmes and courses. Ask the international marketing coordinator for help if texts need to be renewed or rewritten.
Deadline: 20 June 2024
Write a welcome letter to your courses to be published on the course and programme portal. Send the text to the communications officer at your academy.
Deadline: 20 June 2024
The beginner survey is sent out by the Communications Office.
Deadline: August/September (first week of the term)
Organise one programme specific webinar for prospective students. ISR-team can help you moderate the session and market the webinar.
Deadline: November or December
Always: Consider weather you have any activities that Communications Office can join and create content for social media.
Yearly overview – central activities
September – January
- We conduct a central marketing campaign according to our mediaplan for the year. It may contain activities like; fairs (virtual fairs and live fairs), partner travels, agents, portals, social media ads, Google Ads, webinars etc.
- The goal is to attract the right student to apply for our programmes.
- In this period of time we also welcome and interact with the new international students.
- Programme specific webinars - see above.
January – April
- Follow up on the statistics from portals and the autumn campaign, see what has worked and what can be done better next year.
- Start to make plans for next recruitment period.
- Be helpful in the communication with prospects.
April – August
- Interact with and engage admitted students through webinars, newsletters, and social media.
- Be helpful with pre-departure information.
- Create marketing materials for next recruitment period.
Daily overview– central activities
- Answer questions from prospective students that comes in via portals, webb forms and social media.
- Frequent activity in social media channels
- Administration and contact with portals
- Support agents with marketing materials
- Networking with NIMK (the network for international marketing and communication) to learn from other Swedish universities
- Monthly internal newsletters in PS about what happens within internationalisation
January
The application for MASTERHTXX closes in mid January
Consider whether any subsequent recruitment is required. If so, contact the international marketing coordinator. If you need a budget for the marketing activities, make sure it is anchored.
The application for Design programmes opens
The application for Design programmes on Bachelor’s and Master’s level will be public in connection to the Open House at the Swedish School of Textiles. If you want to participate at the Open House and represent your education, contact the communications officer at your academy.

February
Statistics from autumn campaign are collected and reviewed.
Texts are updated in NYA, the central admissions system.
March
Focus on alumni or current student interviews. The content will be used as marketing materials for student recruitment. Please notify the international marketing coordinator with at least one suggestion.
April
Notification of admission results MASTERHTXX
The Communication Office sends a Newsletter to everyone who has applied for an education that starts during the autumn semester.
Start-up for next student recruitment period
ISR-team and Programme Coordinators meet to plan and discuss next autumn campaign, needs and wishes for marketing efforts.
Planned webinars:
Welcome webinar and Q&A session with ISR, IO, ANT and Programme Coordinators.
One for paying students, and one for non-paying students.
May
Welcome letters
It's time to start thinking about welcome letters to your programme webpage on the course and programme portal. Also check that the contact details etc. on the pages are correct.
Exit
Consider weather any of the activities that you plan on Exit would be great content to use as marketing material for recruiting new students. For an example posters, ceremonies or other activities that can be shared in social media. Contact the international marketing coordinator to make a plan.
June

Introduction
The introduction for new students starts. Prepare your class presentation to new students. The Communications Office has created a template that you can use as a starting point (in Swedish).

The central autumn campaign for international student recruitment starts and goes on until mid-January. Every year the mediaplan, the content and the target market can be different. Please contact the international marketing coordinator to find out more about the marketing plan.
October
Application for studies autumn next year opens
In mid October the application for studies starting next autumn semester opens. Make sure that you have went through your programme pages so that your educational programme looks good.
Also consider whether any extra marketing is needed in addition to what takes place centrally for the international programmes. The budget must then come from the department. Here, also the communication officer at your academy and the international marketing coordinator can help you with ideas.
November

Programme specific webinars together with a moderator, the Programme Coordinators and maybe a student from the programme, or researcher from the subject. The webinars can be tailored.
