It is important that what happens at the university is included in the university’s calendar. A calendar entry can be aimed at different audiences: employees, students, the general public, and academics. Think about where you want the information to appear.
Digital invitations are preferable to reduce printed material for environmental reasons. If it is an internal event for university employees, the invitations are to be sent out via PS (personal start page). For external invitations, other tools are available. Have a dialogue with the Communications Officer about needs and wishes, when to send out the invitation, and how to follow it up. Sometimes, it may make sense for you as the organiser to send out the invitation yourself.
If you want to send out the invitation physically, this is also possible. But consider why. In this case, you can create the digital invitation as a PDF and print it out.
A webpage for the event can be created on hb.se to which invited participants can be referred for more information. However, the websites have certain limitations, and it is therefore important that you as the organiser are clear about your wishes and needs.
If it is an event that requires registration, it is possible to create simple registration forms on the event website. Have a dialogue with the Communications Officer about your needs and requests.
The Communications Office can assist in planning social media posts through the university's own channels. If the event has its own accounts, it is important that the content of these is synchronised. The social media channels used by the university are mainly Facebook, Instagram, X, and LinkedIn.
If there is a budget for this, the Communications Office can also help create digital ads adapted for different social media audiences.
The Communications Office also helps with press invitations and press releases. Based on the target audience and content, a media outreach plan can be drawn up.
If you wish to print personalised name badges for participants, you need to do the following:
Contact the Communications Office: kommunikation@hb.se
Contact the Campus Facilities and Sustainability Office: campusservice@hb.se
Remember to place your order well in advance of your event.
The Communications Office helps to produce different types of signs and posters. Depending on the number of signs needed, there may be a cost of printing them up. Remember to try to avoid printed material as much as possible for environmental reasons and refer to various digital channels instead.
If you need to develop a printed programme, the Communications Office can help you, but please consider its purpose carefully. Is it possible to make the programme visible as a PPT or a PDF in digital channels instead? Try to avoid printed material as much as possible for environmental reasons.
