Tablecloths can be borrowed from the storage room at C4 (C454). Tablecloths that have been used must be returned to Reception for dry cleaning after the event. If you are borrowing tablecloths, please let the event coordinator know.
Furniture such as tables, standing desks, chairs, coat racks and any extra recycling stations can be ordered through the Campus Facilities and Sustainability Office. Will you be offering food and/or refreshments? Don't forget to book furniture and mingling spaces for this, too.
At Reception, you can order the university's roll-ups and artificial flowers (potted orchids). If you want fresh flowers, you can arrange this yourself via a florist. However, consider those who may have allergies!
You email your order to campusservice@hb.se.
Reservation of premises can be made:
It is important that all technology works during the event. To book start-up assistance at the venue, contact the Campus Facilities and Sustainability Office via campusservice@hb.se.
You create your own login to your computer or wireless network for guest. More information is available on the network services webpage.
If you want to enable participants who for various reasons cannot or do not want to be present to participate digitally, this can be done through live broadcast via Zoom. The participants will be in two different places and will not be able to interact with each other. However, if you want participants to be able to interact with each other, such as chatting or working in groups, this is called a hybrid event.
It is important to bear in mind that the university's media producers are not able to help with digital broadcasts. However, they can help you hire our external supplier for media production. Media production costs will be invoiced, so it is important that the event has funds set aside for this if needed.
A media production request can be submitted via email to the Communications Office. Remember to make your request well in advance of the event.
Contact the Communications Office via kommunikation@hb.se
If you are offering food or refreshments on the university's premises, you choose which supplier you want to contact. If you are hosting in one of the Balder or Sandgärdet buildings, it is easiest to contact the Balder restaurant. They can arrange for food and refreshments in the restaurants and refreshments in the university premises.
If you are going to be on the premises of the Textile Fashion Center, it is most appropriate that you use The Company. Both can also provide wait staff and nicer white tablecloths (please specify when booking).

Please note, you must submit a requisition when ordering food or refreshments.
It may be a good idea to order extra cleaning of the venue before and/or after your event. Don't forget to also check nearby facilities such as toilets. Order extra cleaning by emailing campusservice@hb.se.

As a governmental authority, we have a legal requirement to archive and preserve documents, partly to disclose in case of interest, and partly to reflect and describe our operations through the documentation. It is a good idea to archive as much documentation as possible from an event you organise.
Documentation that can be archived:
If you have any questions, please contact the university's archivist Åsa Enmyren, or read about archiving procedures at the university.
